How Call Tracking Works

Call tracking works by showing a unique phone number for each marketing source or website visit, forwarding calls on that number to your real phone, and logging the call against the source. Call Bullet then records, transcribes and reports each call, including to Google Analytics 4 and Google Ads.

How does a tracked call travel from advert to phone?

A tracked call passes through five stages. Each one adds evidence to the call record.

  1. Visit: someone clicks your Google Ad, finds you in organic search or reads your leaflet.
  2. Number shown: on your website, Call Bullet's script shows a tracking number from your pool and remembers the visit's source, landing page, UTM tags and Google click ID. Offline, a fixed number is printed.
  3. Call forwarded: the caller dials that number and Call Bullet forwards the call to your main line in real time.
  4. Call recorded: the call is logged with time, duration and whether it was answered, and can be recorded and transcribed.
  5. Call attributed and reported: the call is matched to the visit or placement and appears in your call log, GA4 and Google Ads.

How does the website part work?

The website part uses a small script, or the Call Bullet WordPress plugin, which replaces your phone number with a tracking number for each visitor. It changes both the visible number and the tap-to-call link.

Each visitor keeps the same number for their session, so if they come back to the page they see the same number. When the pool is busy, numbers are reused carefully so calls still match the right visit. The mechanics are covered in dynamic number insertion explained.

The script does not override other scripts you run through Google Tag Manager. If it cannot run — for example, the visitor blocks scripts — your main number stays on the page, so no one is ever shown a broken number.

How are calls matched to the right source?

Matching depends on the type of number that rang.

Number typeHow the source is knownExample
Website pool numberThe visit that was shown the number at that momentGoogle Ads, campaign "Boiler repair", landing page /boiler-repair
Fixed placement numberThe placement it was assigned toGoogle Business Profile, or a leaflet in OL16
Main numberUnknown — reported as unattributedA caller who saved your number months ago

What happens on the call itself?

The caller hears your phone ring as normal. Forwarding happens in the network, so there is no app to answer. You can play a short announcement to your team so they know which source the call came from, and callers can hear a recording notice if you record calls.

After the call, the recording and transcript appear in Call Bullet. Bryan, the AI analyst, summarises what the caller wanted and keeps facts separate from interpretation.

How do tracked calls reach Google Analytics and Google Ads?

Call Bullet sends each call to Google Analytics 4 as an event with its source and campaign, and can send qualified calls to Google Ads as offline conversions using the captured click ID. That means calls sit beside form leads when you judge campaigns.

Set-up steps are in the Google Analytics 4 integration guide. Google's own help on importing offline conversions explains how Google Ads uses them.

How long does setup take?

Setup takes minutes for the website and depends on verification for new numbers. UK numbers need identity documents before activation, as required by the regulator. Once active, the website script starts swapping straight away.

Businesses usually start small, as described in call tracking for small businesses; agencies roll it out per client, as described in call tracking for agencies.

What can affect accuracy?

Accuracy is highest when the pool is sized for your traffic and every placement has its own number.

  • Too few website numbers for your traffic makes numbers shared between visitors, which lowers precision.
  • Page caching can serve an old number; Call Bullet's plugin clears cache when settings change.
  • People who call your main number from memory will show as unattributed.
  • Offline adverts need their own fixed numbers, or their calls blend into direct traffic.

Key takeaways

  • A tracked call goes through five stages: visit, number shown, call forwarded, call recorded, call attributed.
  • Website numbers are swapped per visitor; offline adverts use fixed numbers.
  • Calls are forwarded to your existing phone, so nothing changes for the caller.
  • Calls can be sent to GA4 and Google Ads as conversions.

Frequently asked questions

Does call forwarding add delay?

No noticeable delay. The call connects to your main line as it would normally.

What does the caller hear?

Your phone ringing, plus a recording notice if you choose to record calls.

Does it work with mobile phones?

Yes. Tracking numbers can forward to a UK landline or mobile. Forwarding to mobiles has a different per-minute rate, shown on the pricing page.

Can I see which keyword led to a call?

Yes, when the keyword is available in the visit's UTM tags or Google Ads data.

What if my website uses Google Tag Manager?

Call Bullet works alongside it and never overrides scripts that Google Tag Manager adds.

What if the tracking script fails to load?

Your main number stays visible, so callers can always reach you.
